Job Description:

POSITION SUMMARY:

The Administrative Assistant will be responsible for the administrative support of day-to-day human resources operations. Assist with administering benefit enrollments. Maintain compliance with federal, state and local employment and benefit laws and regulations. Assist with tracking and updating employee information and maintain personnel records. Assist Billing Department with the date entry, submission of Medicaid claims, reporting and tracking.

ESSENTIAL FUNCTIONS:

1. Prepare packets for new hires as needed. Onboard new hires and ensure all documentation is prepared and sent to payroll accordingly.

2. Prepare packets for benefit enrollment applications, plan changes, or qualified life events. Make copies of completed enrollments and place them in the employee’s medical file.

3. Maintain Employee Data Sheet weekly to ensure all employee information is accurate and updated accordingly.

4. Provide a list of terminated employees on the first of every a month and submit report to the HR Director to ensure that termination of coverages is completed timely.

5. Prepare Payroll Masters for new hires and Status Changes for employees when changes occur and submit to HR Director for approval.

6. Maintaining personnel and medical files and file documents in a timely manner.

7. Update employee performance evaluation worksheet to track when evaluations are completed.

8. Update and track employees’ professional licenses and certifications and inform the HR Director if any have an upcoming expiration date.

9. Setup Carelogic on a as needed basis, track all credential/licensures

10.0Update and maintain Leadership Structure Organization Chart when new employees are hired and send to CEO, COO, CFO and the HR Director.

11. Assist the HR Director with maintaining a binder for a training tracking sheet to track all employee required trainings, and including CARF, Health & Safety (i.e., Emergency Evacuation, Infectious Disease, Clients Rights/Clients Abuse, Cultural Diversity, Critical Incidents, Corporate Compliance, Health & Safety Practices and Ethics Trainings, Semi Annual, and Annual basis).

12. Prepare job postings for vacant positions as needed with the approval of the HR Director.

13. Schedule online pre-screen drug test and fingerprinting for new hires.

14. Provide Front Desk and East Office coverages on an as-needed basis .

15. Participate in staff meetings and required committees, and prepare minutes for meetings.

16. Attend conferences, trainings, webinars/seminars as needed to as enhance your knowledge, broaden your horizon and obtain continued education.

17. Performs other duties as assigned to promote the overall mission and vision of CND.

18. Assist Billing Department with data entry and account receivable reconciliation on an as-needed basis.

SKILLS AND ABILITIES:

Education: High school diploma or equivalent required. Administrative clerical training preferred with some college or technical school course work and minimum of one to three years of job-related experience, preferably in human resources. Data Entry experience is preferred. Must be proficient in Microsoft office programs and accounts receivable.

Additional Eligibility Qualifications High level of interpersonal skills to handle sensitive and confidential situations and documentation.

  • Ability to operate most standard office equipment.
  • Attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
  • Excellent verbal and written communication skills.
  • Ability to maintain a high level of confidentiality.

Computer Skills

Proficient in use of personal computer and related software (e.g., Microsoft Word, Excel, PowerPoint) use of office equipment (e.g., fax, copier, printer).

Other Requirements

Must possess a valid Ohio driver’s license; must pass a criminal background check and a pre-employment drug screen.

Must be Covid-19 fully vaccinated.
