The Operations Manager will play a crucial role in ensuring that MHAOhio’s resources are used effectively to achieve its mission. The manager will provide organization-wide operational support, with a wide-reaching impact across all key functions, including executive, development, finance, program support, and HR.
Schedule and Supervision
Work hours are generally 8:30 am – 5:00 pm Monday through Friday, flexible based upon work demands and in consultation with supervisor, full-time exempt position. Additional activity outside of business hours as needed. This position offers a hybrid work model combining remote and in-office responsibilities. Reports to the Finance Director and indirectly to the Executive Director.
Oversee Daily Operations
• Administer shared systems and processes to ensure information is organized, accessible, and supports efficient daily operations
• Coordinate and manage processes with facility-related service providers, including IT, Zoom, agency insurance, the landlord, and other vendors as needed to support operations
• Technical support for staff, troubleshoot device, program or functional technology issues; liaison with third party IT managed services provider
• SharePoint administrator for approved user access requests, channel organization, troubleshooting, annual access review or as roles change
• Manage the staff timesheet process and work with finance director on monthly labor allocation
• Manage central repository for tracking staff computer and office equipment, keys, etc. with the support of the Office and Accounting Manager (OAM)
• Maintain a list of Agency software and technology, review current technology best practices and coordinate the training, implementation and usage to improve operational processes and establish consistency of applications
• Create/oversee a centralized process for receiving, organizing, and addressing operational tasks and inquiries
• Assist OAM in a backup capacity for troubleshooting copier, postage, alarm system, Teams or Zoom meetings
• Maintain an organized system for tracking requests and deliverables, ensuring timely updates and communication with the supervisor and Executive Director
• Facilitate and manage the Staff Connection Committee
• Assist with work plans and budgets, ensuring alignment with organizational objectives
Sustaining and Improving Operations and Strategy
• Work with the leadership team to help address challenges, support the agency’s strategic goals, and encourage collaboration and innovation across teams
• Manage projects that support agency operations, maintaining documentation and recommending policy and process improvements to enhance quality, productivity, and efficiency
• Facilitate and contribute to agency strategic planning and the continuous management of the strategic plan
• Coordinate the development, maintenance, and updates of agency-wide manuals and guides, including program procedure manuals, the Employee Handbook, and other organizational resources
• Analyze data to track performance, measure impact, and inform decision-making
o Manage funder-required outcome & satisfaction surveys (e.g., ADAMH); facilitate the QIRM Committee
o Partner with program staff to identify and implement improvements in programmatic processes to improve quality, productivity, and efficiency
• Partner with Directors to assess training needs and maintain a system for supervisors to track staff training
• Support agency governance processes, including facilitate activity with the Board of Trustees and management of Board SharePoint/Google Drive, working closely with OAM
• Support finance and admin staff with legal and regulatory compliance requirements, both internally and externally; manage OhioMHAS Certification
Finance
• Perform assigned QuickBooks account reconciliations with supervisor oversight
• Work with supervisor evaluate financial processes for improvements; provide recommendations on software enhancements, integrations and best practices
• Assist with reconciliation between Bloomerang and QuickBooks
• Assist with other finance support determined by supervisor
Other Responsibilities
• Participate in agency events and activities
• Other duties, within reason and scope of the position’s primary responsibilities, may be assigned after consultation between employee and supervisor
Qualifications (Required)
• Associate’s Degree in a related field with two years of administrative/operations experience
• Experience leading projects using management tools, tracking progress, providing training, and motivating teams to achieve successful outcomes
• Adaptability and flexibility skills for navigating change in a dynamic environment
• Ability to work well independently and within a multi-disciplinary team environment, managing multiple and complex projects and priorities in a fast-paced environment with efficiency and organization, and working cooperatively to meet internal and external goals
• Ability to work effectively with diverse people & communities, contribute to a collaborative team, be people-centric
• Outstanding decision-making skills and judgment, including the management of confidential information
• Ability to communicate well verbally and in writing
• General understanding of core accounting concepts or principles, knowledge, or experience
• Experience with macOS and PC operating systems, database management
• Passion for mental health
Salary: $48,000-$55,000 per year, commensurate with experience and qualifications.
